Responsibilities

The Executive Assistant/Office Manager is responsible for coordinating and managing office functions for the downtown Atlanta office, and provides executive support for some senior level leaders as well as office staff, as needed. The ideal individual will have strong written and verbal communication, administrative, and organization skills, and the ability to maintain a realistic balance among multiple priorities. This position requires that this individual love to learn, is able to work in fast paced environments, is technologically savvy, and is extremely organized. This is a fast-paced startup with changes happening each day. The Executive Assistant/Office Manager must be flexible and cool under pressure.

  • Office Management
    • General management of the Company’s Atlanta Office, including vending services, office supplies, catering, mail and package services.
    • Ensure that everything is in place for the office to function smoothly.
    • Assist in keeping office areas presentable for clients, prospects and employees.
    • Coordinates with building to assign parking, office keys and building access cards as well as facility maintenance requests.
  • Communication Liaison
    • Welcomes guests by greeting them, in person or on the telephone; answering or directing inquiries.
    • Manage the flow of information to members of the executive leadership team.
  • Executive Assistant
    • Completes a broad variety of administrative tasks for the Chief Executive Officer and Chief Operating Officer including but not limited to; calendar management, travel arrangements, expenses, and special projects.
    • This includes setting up travel, meetings, speaking engagements and other appointments for executive team and Board of Directors. In addition to scheduling meetings, ensuring there are no scheduling conflicts and making sure executives know where they need to be when.
  • Information Preparation
    • Preparing and formatting information for internal and external distribution. This may include writing emails, compiling data for reports, creating PowerPoint presentations, editing, proofreading and other information preparation duties.
  • Travel and Special Events
    • Book domestic and international air travel, hotel reservations, and car rentals.
    • Coordinate production of company events; source and secure, contract and manage all aspects of event production leading up to the event.

Skills & Requirements

  • 3-5 years’ experience as an Executive Assistant or Office Manager
  • Strong organizational skills with the ability to prioritize multiple tasks seamlessly with excellent attention to detail
  • Proactive problem-solving abilities
  • Entrepreneurial and team-oriented spirit with ability to effectively work across all levels of the organization
  • Experience in the field of corporate travel and event planning
  • Negotiation skills and the ability to research and prospect the most competitive rates for travel and events
  • Expert level written and verbal communication skills
  • Proficient with Microsoft Office Suite and Google Suite
  • A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity required.
